Privacy Policy

This policy explains what personal information FredericTech collects, why it collects it, who it is shared with, and the choices you have. It covers this website and the demo booking process.

It also explains, separately, how client information is handled inside the AI booking assistant service delivered to businesses, because the roles and responsibilities there are different.

1. Who is responsible

FredericTech is operated by Frederic Eid, a sole proprietor based in Montreal, Quebec, Canada. For questions about this policy, or to exercise any of the rights described below, write to frederic@frederictech.com.

The same address reaches the person responsible for the protection of personal information within the meaning of Quebec's Act respecting the protection of personal information in the private sector.

2. Two different roles

FredericTech handles personal information in two distinct capacities, and it matters which one applies to you:

  • As the business responsible for this site. When you visit frederictech.com, email, or book a demo, FredericTech decides what is collected and why. This policy governs that information.
  • As a service provider to a client business. When the assistant answers messages for a salon, med spa, or clinic, the personal information of that business's customers belongs to the business. FredericTech processes it on the business's written instructions and does not use it for its own purposes. If you are a customer of one of those businesses, direct your privacy requests to the business; FredericTech will support the business in answering you.

3. What is collected

Information you give directly

  • Your name, email address, phone number, business name, and anything else you choose to write when you email or book a demo.
  • The date, time, and subject of a demo you book, along with any notes you add to the booking form.

Information collected automatically

  • Standard server and delivery logs from the site's hosting provider: IP address, approximate region, browser and device type, pages requested, referring page, and timestamps. These are used for security, troubleshooting, and abuse prevention.

Information handled on behalf of a client business

  • The content of messages exchanged between the business and its customers through connected channels, such as Instagram direct messages, SMS, and missed-call follow-ups.
  • Appointment details needed to book, move, or confirm a booking, including the customer's name, contact details, requested service, and preferred times.
  • Business configuration provided by the client, such as services, hours, staff names, pricing, and the tone the assistant should use.

No special categories of information — health, biometric, financial account, or government identifiers — are requested. Do not send them by email or through a connected channel. If a customer volunteers health-related details to a clinic or med spa, that information is handled under the client business's own instructions and, where required, its own consent.

4. Why it is used, and on what basis

  • To answer you and run demos. Based on your request and on the steps needed to enter into a contract.
  • To provide, secure, and improve the service. Based on the legitimate interest in operating a working, non-abused service, and on the contract with the client business.
  • To send occasional service or follow-up messages. Based on your consent or on an existing business relationship, as permitted by Canada's anti-spam legislation. Every commercial message includes a way to unsubscribe.
  • To meet legal, accounting, and tax obligations. Based on those obligations.

Personal information is never sold, rented, or traded. It is not used to train general-purpose AI models.

5. Automated processing and AI

The assistant uses AI language models to read incoming messages and draft replies, and it can create, move, or confirm an appointment in the client business's calendar. It does not make decisions about credit, employment, insurance, or any other matter with a legal or similarly significant effect on a person.

A human at the client business can take over any conversation at any time, and the assistant escalates rather than guessing when a question falls outside what it knows. If you would like a human to review something the assistant did, ask the business you were messaging, or write to FredericTech at the address above.

Message content is sent to third-party AI model providers under agreements that prohibit using it to train their models. See the list of providers below.

6. Who it is shared with

Personal information is shared only with service providers that need it to make the service work, and only for that purpose. As of the date above, these are:

  • Hosting and content delivery — Vercel Inc., which hosts this website and its server logs.
  • Demo scheduling — Setmore (Boonex/Setmore Inc.), which runs the booking page linked from this site and holds the bookings made there.
  • Fonts — Google LLC, whose font service delivers the typeface used on this site. Your browser requests the font file directly from Google, which means Google receives your IP address.
  • AI model providers — the providers whose language models generate the assistant's replies, under zero-retention or no-training terms.
  • Messaging and telephony platforms — the platforms a client business already uses, such as Meta Platforms for Instagram messaging and the business's SMS or telephone provider. Messages sent over those platforms are also subject to the platforms' own privacy policies.
  • Email — the provider that carries email sent to and from the address above.

Information may also be disclosed where required by law, by a court, or by a regulator with jurisdiction, or to establish or defend a legal claim. It may be transferred as part of a sale or reorganization of the business, in which case this policy continues to apply until you are told otherwise.

7. Where it is stored, and transfers outside Quebec

The service providers listed above operate in Canada, the United States, and the European Union, so personal information may be stored or processed outside Quebec and outside your province or country.

Before entrusting personal information to a provider outside Quebec, FredericTech assesses whether the information will receive adequate protection, taking into account the sensitivity of the information, the purpose of its use, the protections in place, and the legal framework of the destination. Transfers are governed by written agreements that impose confidentiality and security obligations, including standard contractual clauses where the information concerns people in the European Economic Area or the United Kingdom.

8. How long it is kept

  • Demo and prospect enquiries — up to 24 months after the last contact, then deleted.
  • Server logs — as retained by the hosting provider, typically no more than 30 days.
  • Client business records — for the term of the agreement plus the period required by tax and accounting law, generally seven years for invoices and contracts.
  • Customer conversations handled for a client business — for as long as the business instructs, and deleted or returned when the agreement ends.

Once a retention period ends, the information is deleted or anonymized.

9. Security

Reasonable technical and organizational measures protect personal information: encryption in transit, access limited to those who need it, multi-factor authentication on administrative accounts, and providers selected in part for their own security posture.

No system is perfectly secure. If a confidentiality incident presents a risk of serious injury, affected individuals and the Commission d'accès à l'information will be notified promptly, as required by law, and a register of incidents is maintained.

10. Your rights

Depending on where you live, you may have the right to:

  • access the personal information held about you, and receive a copy;
  • have inaccurate, incomplete, or out-of-date information corrected;
  • withdraw your consent, or ask that the information be deleted or that its dissemination cease;
  • receive computerized information you provided in a structured, commonly used technical format, or have it sent to another organization;
  • object to a particular use, or ask for human review of processing carried out by automated means;
  • unsubscribe from commercial messages at any time.

To exercise any of these, write to frederic@frederictech.com. A response follows within 30 days. Proof of identity may be requested before information is released, and some requests are limited by law — for example where releasing information would reveal personal information about someone else.

If you are not satisfied with the response, you may complain to the Commission d'accès à l'information du Québec, to the Office of the Privacy Commissioner of Canada, or, if you are in the European Economic Area or the United Kingdom, to your local supervisory authority.

11. Cookies and similar technologies

This website sets no advertising, analytics, or tracking cookies. There is nothing to opt out of here.

Two things still reach third parties when you browse: the font request described above, and, if you follow the link to book a demo, the scheduling provider's own site, which sets its own cookies under its own policy.

12. Children

The service is offered to businesses and is not directed at children. Personal information about a person under 14 is not knowingly collected through this site. If you believe a child's information has been provided, write to the address above and it will be deleted.

13. Changes to this policy

This policy may be updated as the service changes. The date at the top of the page always reflects the current version. Material changes will be communicated to active clients directly.
